How to Onboard a New Tenant (Step-by-Step)
The move-in process sets the tone for your entire relationship with a tenant. A smooth, professional onboarding makes the tenant feel welcome and establishes you as an organized, responsive landlord. A chaotic one — missing keys, unclear instructions, dirty unit — starts the relationship off on the wrong foot.
Here is a complete checklist for onboarding a new tenant, from the day the lease is signed to the first week in the unit.
Before Move-In Day
Complete all repairs and cleaning. The unit should be spotless and fully functional before the tenant sets foot inside. Test every appliance, every light switch, every faucet. Replace HVAC filters, check smoke detectors, and ensure all locks work. Collect the security deposit and first month's rent. Get these before handing over the keys — never after. Sign the lease. Both parties sign, both parties get a copy. Store your copy digitally.
Move-In Day: The Walk-Through
Walk through the unit with the tenant and document the condition of every room. Take photos and video together. Note any existing damage — scuffs on walls, stains on carpet, scratches on countertops. Both of you should sign the move-in condition report. This document is your protection when the tenant moves out and you need to justify deposit deductions.
The Welcome Packet
Give the tenant a packet (paper or digital) that includes: emergency contact information, how to submit maintenance requests, trash and recycling schedules, parking rules, information about utilities they need to set up, and any building-specific rules.
